RasWorx Systems (Pty) Ltd, registration number 2026/535657/07, which operates the RasWorx TFMS platform ("we", "our", or "us"), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our transport fleet management platform. For the purposes of the Protection of Personal Information Act 4 of 2013, RasWorx Systems (Pty) Ltd is the responsible party.

2.1 Information You Provide

  • Account registration details (name, email, phone number)
  • Company information (business name, registration number, address)
  • Driver information (license details, PDP certificates, medical certificates)
  • Vehicle and asset information (registration numbers, specifications)
  • Load and delivery information
  • Personnel records your organisation keeps in the HR module (employment details, uploaded identity, contract and certificate documents, and medical surveillance results). Uploaded documents are stored privately and are retrievable only by users your organisation has authorised. Fitness and expiry status is recalculated and alerts are raised automatically each day.

  • GPS location data from vehicles (when GPS tracking is enabled)
  • Device information and browser type
  • Usage data and analytics
  • Log files and error reports

3. How We Use Your Information

We use collected information to:

  • Provide and maintain our transport management services

  • Track driver compliance and certificate expiries
  • Generate reports and analytics for your fleet operations

  • Your clients (limited delivery and tracking information as configured)

6. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Personnel records, uploaded HR documents and medical records held on behalf of a transport operator are kept for the period the operator and applicable law require, and are not deleted automatically when an employee is terminated. To request deletion or correction of your data, contact us and we will assess the request against our legal retention obligations.
